Sponsorship Information

VLA offers a number of sponsorship opportunities for companies wanting to support the 2024 Annual Conference. The list of options is below. Once an opportunity is sold, it will be removed from the Sponsorship Application. VLA will strive to keep the below list up-to-date, however if the item is listed below, that doesn't necessarily mean the option is still available. Act fast to get the sponsorship best for you.

Sponsorships of more than $1,000 receive podium recognition and a large ad in the conference app. Sponsorships between $500-$999 receive podium recognition and a small ad in the conference app. Ad specifications will be sent after sponsorship payment has been received.

Cancellation Policy: Sponsorships can not be refunded.

Booth Information

Booth Cost: $775 for the first booth; $387.50 for each booth after that. Cost increases to $850 for the first booth beginning September 16.

Booth Specs: 10 feet wide by 8 feet deep; includes carpet.

Booth Includes:

• pipe and drape
• one 6' table with skirt and two chairs
• complimentary wifi
• one wastebasket

Other Information:

• Electricity must be ordered from the hotel. Order forms will be included with Vendor Packets which will be sent closer to the event. 
• VLA will provide a box lunch for one Booth Representative on Thursday. A $30 fee will be charged for additional lunches.
• Booth Representatives are welcome to attend conference sessions.
• Each booth can have up to 4 booth representatives.

Exhibitor Details
Wednesday: Vendors will be able to load in starting at 5pm on Wednesday, October 16. Hollins Inc. is our show decorator. They will send Vendor packets in September 2024.

Thursday: Official Exhibit Hall Hours are 9:00am-5:00pm. The ribbon on our Exhibit Hall will be cut at 9:00am on Thursday, October 17. In an effort to provide more traffic to the exhibit booths, VLA will provide a box lunch to all registrants in the Exhibit Hall on Thursday, from 11:45am-1:00pm, and will provide non-conflict time on Thursday afternoon, and again on Friday morning.

Friday: On Thursday morning we will offer coffee in the Exhibit area from 8:30am-9:00am. The Exhibits will officially close at noon.

HOTEL ROOMS: The Norfolk Waterside is a Marriott property, 235 E Main St, Norfolk, VA 23510. Rooms in the VLA block are $158 per night plus taxes and fees. Our block closes on September 24.

For those wishing to be on the water and by the Waterside District, across the street from the Norfolk Waterside Marriott, there is a group rate for the Sheraton Waterside Norfolk Hotel available here for $199/night (plus taxes, fees, and parking). The deadline to book is Friday, September 27, 2024 or until capacity is reached, whichever comes first.

There is a group rate for the Courtyard Norfolk Downtown available here for $165/night (plus taxes, fees, and parking). The deadline to book is Monday, September 30, 2024 or until capacity is reached, whichever comes first.

Attendee List:

• As an exhibitor, you are able to purchase a conference attendee list. VLA will provide a list of attendee names, organizations, and email addresses to the Contact Name listed above.
• Please note: Attendees will have the opportunity to opt-out of this list. VLA cannot guarantee the list will represent ALL attendees.
• Delivery: The list will be emailed to the Contact Name listed above by September 26. Exhibitors who have not paid by September 18 will not receive the list until payment is received.
• Cost: $175 – This item can be purchased as an add-on later. You do not need to make the purchase now. However, if you purchase after September 18, the cost will be $250.
